No-show policy for waxing specialists
A no-show policy template written for waxing specialists.
Copy the policy, the message that tells your regulars, and the reply for the day someone doesn’t show. Fill in the brackets, and change anything that doesn’t sound like you. The numbers and notice window below are starting points, not rules.
How no-shows work for a waxing specialist
Waxing slots are short, often thirty to forty-five minutes, and many clients rebook on a cycle of a few weeks because hair growth sets the schedule. A no-show costs the slot, and a late cancel is hard to refill because people who want a quick wax usually want it soon, not whenever you happen to have a gap. Short slots make a miss easy to shrug off. A month of them adds up to a full day.
The cycle matters too. A client who skips one visit often waits another week or two, so getting them back on the book quickly protects the rhythm. Skin matters as well: a client who arrives sunburned or irritated may need to be rebooked, and a policy that handles that without a fee keeps the relationship intact.
What a missed wax costs you
Put in what you charge and how many people miss in a normal month. This is plain multiplication on your own numbers, not a statistic about waxing specialists. The starting price is only an example.
$200a month
$2,400a year, in time you held and couldn’t resell
Starting values only. Change both to your own numbers.
For example, if one wax is $50 and four people miss in a month, that is $200 a month, or $2,400 over a year, for time you set aside and couldn’t give to anyone else. Enter your average ticket. Add-ons like a lip or underarm wax aren't counted unless you include them in the number. The calculator only multiplies, so if most misses are your quick services, use that price instead of your average.
The policy
This version suggests 24 hours of notice, which is a common place to start for this kind of work. Make it longer or shorter based on how quickly you can refill a slot. Paste it on your booking page, in your bio, and in the confirmation text.
Policy for waxing specialists
I hold your appointment time just for you. Please give at least 24 hours notice to reschedule or cancel so I can offer the time to someone else. If you miss an appointment or cancel inside 24 hours, I may ask for [amount] before booking your next one. If your skin is sunburned or irritated, or you're sick, tell me and we'll rebook with no charge.
Anything in [brackets] is yours to fill in. If you charge a fee or take a deposit, you collect it yourself. Pick a number you would actually enforce, because a policy you don’t follow teaches people to ignore it.
Regulars and new clients get different rules
Give a regular on a steady cycle one free miss and a quick rebook. For a new client who misses a first appointment, ask for the hold amount before booking again, and don't charge anyone who tells you ahead of time that their skin isn't ready.
This split matches what many solo pros already do by hand: grace for people who have shown up before, and a firmer line for strangers. Writing it down just means you aren’t deciding it again in the moment, annoyed.
Telling the clients you already have
Most waxing specialists stall on this part. The rule feels like picking a fight with people who have been coming to you for years. Send this one message to everyone at once, before the policy applies to anybody.
Message to your current clients
Hi [Name], a quick note. I'm asking for 24 hours notice to move or cancel a wax, since each appointment holds a slot I can only refill if I know early. If your skin is irritated or you're not feeling well, just tell me and we'll move it. Thank you! - [Your name]

Questions people ask
Should I charge if a client's skin is irritated or sunburned?
Many specialists waive the fee when the client tells them ahead of time and the service can't be done comfortably. Put that exception in writing so the rule stays fair, and ask for notice so you can still refill the slot.
Is 24 hours the right notice for waxing?
It's a common starting point. Waxing slots are short, so some specialists shorten the window to a few hours when they keep a waitlist. Whatever you pick, put the same number in your reminder text.
Can I ask a first-time client for a deposit?
Yes, as long as you collect it yourself. Morningside doesn't take payments or deposits, so your policy can say how a deposit applies and you take it the way you take payment today.
Does Morningside collect no-show fees or deposits?
Not itself. Morningside takes bookings, sends reminder texts clients confirm with one letter, and texts a rebook link after you mark a no-show. It never takes or holds payments or card numbers. If your policy includes a deposit, add your own payment link or instructions in settings and clients see it right after they book; you collect it yourself.
Can I legally charge a no-show fee?
Rules about fees and what counts as agreeing to them vary by place, and this page isn't legal advice. The habit that helps in most situations is the same: write the policy down, put it where clients book, and repeat it in the confirmation, so there is a record that they saw it before the appointment.
A policy only works on the people who read it.
Morningside is a booking page for one person or a small team. Clients pick a time, get a text, and confirm with one letter. When someone misses, you tap once and they get a text with a link to rebook. It books and reminds. It never takes payments, deposits or card numbers.
