No-show policy for hair extension specialists

A no-show policy template written for hair extension specialists.

Copy the policy, the message that tells your regulars, and the reply for the day someone doesn’t show. Fill in the brackets, and change anything that doesn’t sound like you. The numbers and notice window below are starting points, not rules.

How no-shows work for a hair extension specialist

An extension install is a long appointment with work behind it. The hair is often ordered or matched for the client before they walk in, and the install can take most of a day. When someone doesn't show, you lose the day and you may be left holding hair that was ordered for them.

That's why many extension specialists ask for a deposit and a longer notice window than for a cut or color. Morningside doesn't take payments or deposits, so if you ask for one you collect it yourself, and your policy can simply say how it applies. What the booking page and the texts can do is confirm the install and make rescheduling the easy option.

What a missed install costs you

Put in what you charge and how many people miss in a normal month. This is plain multiplication on your own numbers, not a statistic about hair extension specialists. The starting price is only an example.

$1,400a month

$16,800a year, in time you held and couldn’t resell

Starting values only. Change both to your own numbers.

For example, if one install is $350 and four people miss in a month, that is $1400 a month, or $16,800 over a year, for time you set aside and couldn’t give to anyone else. Enter a typical install price. It doesn't count the hair you ordered or the consultation time, which can be a large part of the real loss on a missed install. Run it a second time with that cost added for the fuller picture.

The policy

This version suggests 72 hours of notice, which is a common place to start for this kind of work. Make it longer or shorter based on how quickly you can refill a slot. Paste it on your booking page, in your bio, and in the confirmation text.

Policy for hair extension specialists

Your install holds most of my day, and your hair is ordered or matched for you ahead of time. Please give at least 72 hours notice to reschedule or cancel. [Once your hair has been ordered, any deposit you've paid is non-refundable.] A cancellation inside 72 hours or a missed install may need [amount] before your next booking. How your deposit applies is covered in the terms you agreed when you booked.

Anything in [brackets] is yours to fill in. If you charge a fee or take a deposit, you collect it yourself. Pick a number you would actually enforce, because a policy you don’t follow teaches people to ignore it.

Regulars and new clients get different rules

For a returning client who has never missed, give one free reschedule. For a new client who misses an install, ask for the hold amount before booking again, because the hair and the time are already committed.

This split matches what many solo pros already do by hand: grace for people who have shown up before, and a firmer line for strangers. Writing it down just means you aren’t deciding it again in the moment, annoyed.

Telling the clients you already have

Most hair extension specialists stall on this part. The rule feels like picking a fight with people who have been coming to you for years. Send this one message to everyone at once, before the policy applies to anybody.

Message to your current clients

Hi [Name], a quick note on scheduling. Installs hold most of my day and I order your hair ahead of time, so I'm asking for 72 hours notice to move or cancel. If something comes up, tell me early and we'll find a new date. Thank you! - [Your name]

Questions people ask

Does Morningside take deposits for extension installs?

Not itself. Morningside never takes or holds payments or stores cards. If you want a deposit, add your own payment link or instructions in settings; clients see it right after they book and you collect it yourself. The reminders and the rebook text work the same either way.

When does a deposit become non-refundable?

That's your call, and many specialists tie it to the moment the hair is ordered. Whatever you choose, write the trigger into the policy and repeat it when you take the deposit, so nobody is surprised. Check your local rules on deposits and refunds.

Should the notice window be longer than for a cut?

Usually. A long install is hard to refill on short notice, so 72 hours is a common starting point, and some specialists ask for more. Treat it as a number to adjust once you see how much you can actually refill.

Does Morningside collect no-show fees or deposits?

Not itself. Morningside takes bookings, sends reminder texts clients confirm with one letter, and texts a rebook link after you mark a no-show. It never takes or holds payments or card numbers. If your policy includes a deposit, add your own payment link or instructions in settings and clients see it right after they book; you collect it yourself.

Can I legally charge a no-show fee?

Rules about fees and what counts as agreeing to them vary by place, and this page isn't legal advice. The habit that helps in most situations is the same: write the policy down, put it where clients book, and repeat it in the confirmation, so there is a record that they saw it before the appointment.

A policy only works on the people who read it.

Morningside is a booking page for one person or a small team. Clients pick a time, get a text, and confirm with one letter. When someone misses, you tap once and they get a text with a link to rebook. It books and reminds. It never takes payments, deposits or card numbers.
