No-show policy for personal trainers
A no-show policy template written for personal trainers.
Copy the policy, the message that tells your regulars, and the reply for the day someone doesn’t show. Fill in the brackets, and change anything that doesn’t sound like you. The numbers and notice window below are starting points, not rules.
How no-shows work for a personal trainer
A training session holds an hour of your day for one person, and a no-show leaves that hour empty with little chance of filling it on short notice. Because many clients pay for packages, the cost of a miss isn't always obvious: either the client loses a session they paid for, or you lose an hour you won't get back. A clear rule, agreed in advance, keeps that from turning into an argument.
Trainers also work with clients on a standing weekly rhythm, so a miss is usually a bad week and not a lack of respect. The best policies treat a first miss warmly and a pattern firmly, and they say what happens to a package session when a client cancels late.
What a missed session costs you
Put in what you charge and how many people miss in a normal month. This is plain multiplication on your own numbers, not a statistic about personal trainers. The starting price is only an example.
$300a month
$3,600a year, in time you held and couldn’t resell
Starting values only. Change both to your own numbers.
For example, if one session is $75 and four people miss in a month, that is $300 a month, or $3,600 over a year, for time you set aside and couldn’t give to anyone else. Enter your per-session price. If your clients buy packages, divide the package price by the number of sessions to get a per-session figure. The calculator doesn't count the longer-term cost of a client who drifts away after a missed week.
The policy
This version suggests 24 hours of notice, which is a common place to start for this kind of work. Make it longer or shorter based on how quickly you can refill a slot. Paste it on your booking page, in your bio, and in the confirmation text.
Policy for personal trainers
I hold your full session time for you. Please give at least 24 hours notice to reschedule or cancel so I can offer the hour to someone else. A cancellation inside 24 hours, or a missed session, may count as a used session from your package or need [amount] before your next booking. If you're unwell or something urgent comes up, tell me and we'll sort it out.
Anything in [brackets] is yours to fill in. If you charge a fee or take a deposit, you collect it yourself. Pick a number you would actually enforce, because a policy you don’t follow teaches people to ignore it.
Regulars and new clients get different rules
For a client on a steady weekly schedule, give the first miss a free pass and a quick rebook. Apply the late-cancel rule to repeat misses, and say so in the policy so it's never a surprise.
This split matches what many solo pros already do by hand: grace for people who have shown up before, and a firmer line for strangers. Writing it down just means you aren’t deciding it again in the moment, annoyed.
Telling the clients you already have
Most personal trainers stall on this part. The rule feels like picking a fight with people who have been coming to you for years. Send this one message to everyone at once, before the policy applies to anybody.
Message to your current clients
Hi [Name], a quick note on scheduling. I'm asking for 24 hours notice to move or cancel a session, since each one holds a full hour of my day. A late cancel may count as a used session. If something urgent comes up, just tell me. Thanks! - [Your name]
After someone misses

The no-show policy generator lets you switch between a gentle and a firm tone, change the notice window, and download the policy as an image you can post or print. Questions people ask
Should a late cancel use up a package session?
That's a common way to handle it, and it works because the client has already paid for the hour. Write it into your policy and repeat it when they buy the package, so it is agreed in advance. If you don't sell packages, a hold amount works the same way.
Is 24 hours the right notice for training?
It's a common starting point because it gives you a day to offer the hour to someone else. If you keep a waitlist, a shorter window can work. If you rarely refill short-notice hours, a longer one may be worth it.
What about sickness or travel?
Most trainers allow flexibility for real illness or an emergency and write it into the policy. A line like "tell me and we'll sort it out" keeps the rule firm without turning every cancel into a negotiation.
Does Morningside collect no-show fees or deposits?
Not itself. Morningside takes bookings, sends reminder texts clients confirm with one letter, and texts a rebook link after you mark a no-show. It never takes or holds payments or card numbers. If your policy includes a deposit, add your own payment link or instructions in settings and clients see it right after they book; you collect it yourself.
Can I legally charge a no-show fee?
Rules about fees and what counts as agreeing to them vary by place, and this page isn't legal advice. The habit that helps in most situations is the same: write the policy down, put it where clients book, and repeat it in the confirmation, so there is a record that they saw it before the appointment.
A policy only works on the people who read it.
Morningside is a booking page for one person or a small team. Clients pick a time, get a text, and confirm with one letter. When someone misses, you tap once and they get a text with a link to rebook. It books and reminds. It never takes payments, deposits or card numbers.
