
A regular misses their 2pm. You text them: "Everything okay?" You'll move them to Thursday, no fee.
A first-timer misses their 2pm. You block them from booking online and never think about them again.
Same empty slot. Opposite response. And if neither rule is written down, the next no-show is a coin flip.
What we read
We went through about 300 posts and comments from working barbers, stylists and tattoo artists, on r/Barber, r/hairstylist and r/TattooArtists, searching for no-shows and deposits. One caveat up front: Reddit leans toward newer pros and people venting after a bad day. It shows how pros think. It doesn't prove what works.
Still, one pattern showed up in almost every policy we read.
Two tiers, almost every time
Regulars get grace. The usual ladder is one free no-show ("things happen"), then a warning, then a deposit, then they're done. Several barbers said they just eat it for regulars they booked by hand.
New and unknown clients get none. Charge them, block online booking, don't rebook. Referrals sit in the middle: they get an "are you okay?" check-in first.
It makes sense. A regular has a history with you. A stranger has a calendar slot and nothing else.
Why it stays in your head
Our guess: writing the policy means telling your regulars it exists, and that feels like picking a fight with the people who pay your rent. So it often never ships. The rule lives in your head, and the next awkward no-show gets a different answer than the last one.
The fix is in how you say it. Something like: "Nothing changes for you, you're always good. Just 24 hours' notice if you need to move it, so the spot can go to someone else." That's the whole announcement.
Three things worth having
- A reminder they can answer. Pros kept crediting reminders that ask the client to confirm.
- A cancel that's one text. A cancellation you hear about at 9am is a slot you can still fill by 2pm.
- A way back for the people you want back. A friendly rebook link. For a regular, it's the same grace you'd give by hand.
