How to Switch Booking Apps Without Losing Your Regulars

It's a list problem and a link problem. How to get your clients out of Booksy, Vagaro, Fresha or StyleSeat, onto your new link, and in the right order.

Nobody's actually scared of the new app. It's the regular who taps your old link three weeks from now, finds nothing, and books somebody else without ever telling you.

Switching booking apps isn't a software problem. It's a list problem and a link problem. Get both right and nobody gets lost. Here's the order that works.

Export first. Cancel last.

1. Get your client list out before you touch anything else

Your client list is the business. Names and numbers are how you reach the people who already pay you. Get a copy while your old account is still fully open, not after.

It's easier on some platforms than others. From each vendor's own help docs:

Grab Excel or CSV if you get the choice. A PDF is fine for reading and useless for anything else.

2. Don't cancel the old account yet

Every appointment that's already booked lives in the old system. Leave it running so those clients still get their reminders, and so you can still see who's coming.

Run both until the last appointment on the old calendar has happened. Yes, that's probably a month of paying for two apps. It's still cheaper than losing one regular.

3. Cards on file don't move

Fresha says it plainly: card details can't be exported or transferred, for security and PCI compliance reasons. Assume yours won't come across either, unless your new system tells you otherwise.

If you take deposits or keep cards on file, plan to collect them again on the new system. Don't find this out on the first no-show.

4. Change the link everywhere a client might find you

This is the step that quietly loses people. Your old link is in more places than you remember:

  • Instagram and TikTok bios
  • Your Google Business Profile booking button
  • Your voicemail and your texting auto-reply
  • Old posts with the link in the caption
  • Any business cards, flyers or the sign by the door

Swap all of them the same day. A link that works in one place and not another is how a client decides you've closed.

5. Tell your regulars once, with the link right in the message

Not a post. A text, to the people who actually book. Keep it short and put the link in it so there's nothing to search for:

"Heads up: booking has moved to a new link. Same prices, same hours. Grab your next spot here: [your link]"

That's it. No big announcement. The goal is one tap from their messages to your calendar.

6. Answer the old way with the new link for a while

For the next month or so, some people will still DM or text to book. That's normal. Reply with the link every single time instead of booking them by hand. Two or three rounds of that and they'll use it on their own.

If you're switching to Morningside

Two things worth knowing before you start, because they change the plan a little.

There's no import. You can't upload that exported list. Clients show up as they book through your page at mside.co/yourname. Keep the export anyway. It's still the list you text in step 5.

Texts only go to clients who book through your page. You can add appointments yourself, but those clients never agreed to texts, so they won't get reminders or a rebook text. Carriers require the client's own opt-in. Clients who book through your link agree when they book, and from then on they get the reminders. If they don't show, you mark it, and they get a text with a link to pick a new time.

So the fastest way to get the texts working is getting your regulars onto the link. That's step 5, and it's the same step either way.
